Q: What is included in a Full Registration?  

A: In-Person Conference in Las Vegas:

  • Access to all main conference sessions presented at the ASPEN Nutrition Science & Practice Conference (Note: Preconference sessions are an additional fee).
  • Invitation to attend the opening reception.
  • Access to the ASPEN Nutrition Science & Practice Conference Exhibit Hall and Posters.
  • Special Nutrition Science & Practice Conference Bookstore pricing for all onsite purchases.
  • Opportunities to meet your peers at discipline and section forums. Open to all ASPEN Nutrition Science & Practice Conference attendees. Section membership not required for attendance.
  • Access to ASPEN’s eLearning Center where you will have access to the audio recording and handouts of every session presented at the conference.
  • Lunch in the Exhibit Hall on Friday and Saturday.

A: Virtual Conference:

  • Access to the conference sessions presented at the ASPEN Nutrition Science & Practice Conference (Note:
    Preconference sessions are an additional fee).
  • Access to ASPEN’s eLearning Center where you will have access to recordings and handouts of every session presented at the conference. See Virtual Conference FAQs.
  • Ability to engage and network with other virtual participants within sessions and in the virtual conference platform.

Q: What is included in a Daily Registration? 

A: In-Person Conference in Las Vegas:

  • Access to all conference sessions presented at the ASPEN Nutrition Science & Practice Conference on the day for which you are registered (Note: Preconference sessions are an additional fee).
  • Access to the ASPEN Nutrition Science & Practice Conference Exhibit Hall and Posters for day of registration (not available on Sunday).
  • Special ASPEN Nutrition Science & Practice Conference Bookstore pricing for all onsite purchases.
  • Opportunities to meet your peers at discipline and section forums if they occur on the day for which you are registered. Open to all ASPEN Nutrition Science & Practice Conference attendees.
  • Lunch in the Exhibit Hall on Friday or Saturday

Q: What is included in a Preconference Only Registration? 

A: Access to the preconference course for which you are registered, preconference course handouts, and access to the preconference course recording in ASPEN’s eLearning Center. For ASPEN23, preconference courses are being held in person and virtually.


Q: Can I register for preconference courses on-site? 

A: Yes, but registration fees will be higher if you register on-site.


Q: Is the physician course only open to physicians? 

A: No. While the course is designed for physicians, all healthcare providers are welcome. However, continuing education credit is provided only for physicians. 


Q: If I miss the registration deadlines, can I still register for the ASPEN Nutrition Science & Practice Conference? 

A: Yes, you may register online or when you arrive on-site.


Q: When is the latest I can mail my registration form to be pre-registered (as opposed to having to register on-site)? 

A: The deadlines for early and late registration are listed on the ASPEN23 registration page. If you mail your registration after April 5, it will NOT be processed, and you will be required to register on-site or online.


Q: How many continuing education credits can I receive for attending the ASPEN Nutrition Science & Practice Conference? 

A: Participation in the full conference allows an individual to claim up to 20.5 contact hours. Participation in the virtual conference allows an individual to claim up to 20 contact hours. Participation in preconference courses allows an individual to claim approximately 4 additional contact hours depending on the course.


Q: Do students, interns or residents receive a discounted registration rate?  

A: Full-time students, trainees, and new practitioners within two years of receiving their license receive a discounted rate. Please visit the ASPEN membership page to review the full definitions of these categories to see if you are eligible. Proof of student status or licensure date, in the form of a letter from your department head, copy of your semester schedule or copy of your license, is required with your printed registration form in order to receive the discount. If you submit your registration without the required documentation you will be charged the full rate to attend.


Q: Do I have to be a member of ASPEN to attend the ASPEN Nutrition Science & Practice Conference? 

A: No, you don't have to be a member. Significant registration discounts are available to members of ASPEN. Join ASPEN at the time of your registration and benefit from the member discounts for the conference.


Q: Does ASPEN accept electronic wire transfers as a form of payment? 

A: Yes, please contact our office to receive the information necessary to process the transfer. Please note a $25 processing fee must be added to the final total.


Q: Are children allowed in the exhibit hall? 

A: Children (anyone under 16 years old) are not allowed in the exhibit hall.


Q: Can I purchase a one-day pass to the exhibit hall?  

A: You must be fully registered to attend the ASPEN Nutrition Science & Practice Conference in order to gain access to the exhibit hall. One-day registrations are available.


Q: What are the COVID-19 porotocols for the in-person conference?

A: ASPEN continues to monitor health and safety protocols related to COVID-19 at the annual conference venue. Attending the ASPEN Nutrition Science & Practice Conference is done at your own risk and each attendee assumes full personal responsibility for participation.

What is ASPEN’s Cancellation Policy?

Q: Can I change the preconference courses I have registered for?

A: Yes. Changes must be made prior to the start of the conference and may be subject to higher registration fees based on the time of the change and type of change being made (i.e. half-day course to full-day course).


Q: Can I register for preconference courses on-site? 

A: Yes, but registration fees will be higher if you register on-site.


Q: I am speaking at the ASPEN Nutrition Science & Practice Conference, and my spouse/guest would like to attend my session. Is this OK? Does my spouse/guest need a badge? 

A: Yes, your spouse/guest may attend the session and is required to wear a guest badge ($50 fee), which can be picked up onsite at the registration desk.


Q: Which registration types include credits or a certificate of attendance? 

A: All full conference registrants and preconference registrants are eligible to receive a certificate of attendance or continuing education credit. Exhibit personnel badges, guest badges or press passes do not include certificates or credits.


Q: How do I find a roommate for the meeting? 

A: ASPEN does not offer a referral process, but attendees are welcome to utilize ASPEN Member Connect to contact others seeking a roommate for the meeting. You are responsible for making contact with other individuals and setting up your own hotel reservations.


Q: Will I receive printed handouts for sessions? 

A: To reduce the amount of paper and be more environmentally responsible, neither handouts nor a conference syllabus will be available. Instead session outlines and information as submitted by the speakers will be available in April in ASPEN's eLearning Center to enable attendees to preview sessions, learning objectives, outlines, test your knowledge questions and references. Please note that all Full Conference in person attendees receive access to the ASPEN Nutrition Science & Practice Conference in the eLearning Center to download and print handouts submitted by session leaders, as well as listen to and view the digital recording main conference of sessions.


Q: Can registrations be shared or transferred to another name if I can't make it? 

A: Yes, if you cannot attend the ASPEN Nutrition Science & Practice Conference you can contact the ASPEN office to have your registration transferred to a colleague (additional charges may apply, i.e. if you registered at the member rate and they are not a member. Registrations may not be shared. 


Q: How do I access ASPEN Nutrition Science & Practice Conference Content?  

A: ASPEN Nutrition Science & Practice Conference content will be available shortly after the conference ends in ASPEN's eLearning Center. Please watch your email following the ASPEN Nutrition Science & Practice Conference for access information.


Q: How do I claim CE credit?  

A: To receive continuing education (CE) credit for your attendance and participation in the ASPEN Nutrition Science & Practice Conference, log on to ASPEN's eLearning Center. Your CE certificate will be available after completing the session and overall evaluations. Your CE certificate is saved in your transcript. Complete your evaluations and claiming of CE credit by May 20, 2023. Credit will not be issued after this date, no exceptions.


Q: What is ASPEN’s Cancellation Policy? 

A: All cancellation requests must be sent in writing to the ASPEN national office via email, fax, or standard mail. Cancellation requests made via telephone will not be accepted. A refund of the registration fee less a $90 administrative fee for the main conference and $25 for each preconference course will be issued if received on or before February 15, 2023. Cancellation requests received after February 15, 2023 and on or before April 5, 2023 will receive 50% of all monies paid less the same administration fees above. No refund will be issued after April 5, 2023, including paid registrants who do not attend in person.

Refunds will be issued approximately 4-6 weeks after the conclusion of the conference. When you register for the conference, you will be confirming that you have reviewed and understand this attendee registration refund policy.


I am an International Attendee…
Q: How do I receive an international letter of invitation? 

A: To receive an invitation letter you must first be a paid registrant. Once you have registered, email or call our office (301-587-6315) and we will send you a letter of invitation.


Q: How do I receive an international certificate of attendance? 

A: Certificates of attendance will be available for conference attendees online once the conference begins. More details are coming soon.


I am an Exhibitor…
Q: Can exhibitors attend preconference or postgraduate courses without registering for the ASPEN Nutrition Science & Practice Conference? 

A: Yes, but you must pay the registration fees for the course.


Q: Can exhibitors attend the ASPEN Nutrition Science & Practice Conference sessions free of charge? 

A: Exhibitors receive complimentary exhibit only passes to the Exhibit Hall. If exhibitors would like to attend educational sessions, they must be fully registered for the conference. Please email [email protected] for more information.
